Summary

The Associate, Compliance ESG and Privacy will be a member of the company's Compliance Department and will report to the Head of Compliance Investigations and Privacy Officer and will 1) assist with the US Environmental Social Governance (ESG) sustainability initiatives; 2) support the Privacy program to ensure compliance with privacy regulations; 3) assist with documentation and management of the internal investigations process; and 4) support various components of the company's corporate compliance program, including policies, training, communication, and monitoring.

Responsibilities

- Environmental, Social, Governance (ESG)Support the US Environmental, Social, Governance (ESG) sustainability initiatives and program, including assisting the Manager, Compliance and Sustainability, with tracking global health, environmental management, and sustainability requests, working with stakeholders from each US affiliate in gathering data, and developing responses to the requests. Global work - the role will involve interactions with Global DS colleagues, including receipt and response to requests and questions from members of the sustainability team in Japan, as well as periodic early and/or late meetings with colleagues in other regions. Other responsibilities include setting up engagements with service providers, as necessary, and supporting the development of e-learning and other educational programs and communications to promote sustainability initiatives.
- Privacy - Maintain and enforce the lifecycle management of the Privacy Program under the direction of the Privacy Officer. Key responsibilities include coordination and tracking of new vendors and project initiatives through the Privacy Impact Assessments (PIA) process, reviewing responses to PIAs for quality and timely completion of such assessments, and proactively scheduling meetings with business stakeholders to collect additional information. The role will also help manage and assign requests from business stakeholders for consultations, and other service-related requests. The role will support data collection process within the privacy enabling software, OneTrust, to ensure data maps are accurate and up to date. The role will also assist with developing e-learning and other educational programs to promote Data Privacy initiatives.
- Project Management - Provide project management support for identified projects and provide overall activity tracking support for the ESG team and the Privacy team for various initiatives to ensure teams stay on track with timelines. Assist in the preparation of reports and presentations, scheduling meetings, supporting hiring of individuals, electronically filing materials. Participate in company-wide initiatives and special projects as determined by the Head of Compliance Investigations and Privacy Officer.
- Investigations Support recordkeeping of all opened and closed compliance investigative matters within the Navex system, updating the Compliance Hotline with appropriate responses, and assisting with the assignment and scheduling of open compliance matters in accordance with established procedures. Maintain a confidential operation requiring a high degree of tact, discretion, and sensitivity. This position will be responsible to assist in documenting that all investigation matters are maintained in appropriate systems, available for auditing if necessary.

Education Qualifications (from an accredited college or university)

- High School Diploma required
- In the absence of a bachelor's degree, give or more years of pharmaceutical, Privacy, and/or ESG industry experience may be considered to satisfy this requirement.

Experience Qualifications

- 1 or More Years Related experience and strong background in project management or demonstrated organizational and project tracking skills required
- Pharmaceutical industry preferred

Travel

Ability to travel up to 5% Conferences and/or business meetings as necessary
