Summary


This position is responsible for the execution of a "Single Point" for Regional Field Convention Program dedicated to support DS salesforce with internal approval processes and rep participation at live, virtual or hybrid local/regional events. The candidate will also assist in the execution of DS convention initiatives. The person must maintain an awareness of the Daiichi Sankyo corporate image/identity and integrate that into every initiative/tactic that is developed and executed ensuring competitive positioning of Daiichi Sankyo in the Pharmaceutical industry.

Responsibilities

- Regional Field ProgramSupport “Single Point” Regional Field Convention Program, from inception to completion. Manage dsfieldconventions mailbox with field requests. Evaluate, validate, and gather all necessary information for submission into Cvent and DS Program and Grants Committee (PGC) portal. Review requests checking for duplications and suggest alternate requests, as necessary. Monitor request status and communicate with requestor -in a timely manner. Once the event is approved internally, register rep(s) either online or via email and submit credit card payment, if applicable. Create virtual regional booth for virtual/hybrid events and submit virtual assets, when needed. Collaborate with cross-functional teams including Field and Upper Management, Legal and Compliance, Brand Leads, Production and Associations to ensure objectives are met. Proactively forward additional event opportunities to appropriate parties for consideration to ensure Daiichi Sankyo remains in the forefront of the oncology communities. Maintain strong relationships with Associations to maximize positioning and future opportunities within the regional market. Recommend improvements and enhancements to current processes.
- Data and Reporting Maintain accurate reporting of regional events and registrations in Cvent to ensure alignment with Program and Grants committee approved data. Extract and provide vendor with monthly and quarterly data for customize Sr. leadership reports. Distributer quarterly report to Sr. Leadership via email and SharePoint. Create ad-hoc reports per request. Monitor field roster and proactively communicate any field updates to associations and management for scheduled events. Responsible for creating and uploading Regional Event Calendar on various platforms.
- Budget Administration Tracking approved budgets for regional programs and communicate to stakeholders. Submit monthly credit card expense reports. Reconcile and allocate expenses from regional payments to appropriate WBS codes. Initiate, track, and report refunds when events are cancelled and/or postponed and communicate transactions to Accounting Department. Escalate any deviation of the approved budgets to leader of Field Regional Programs.
- DS Custom Virtual Booth ProgramSupport the leader of Regional Field Programs with custom virtual program in creating regional virtual booth with approved assets utilizing DS customized program. Provide QR code of approved virtual booth to representatives for use at live events. Recommend improvements and make enhancements to current virtual programs.

Education Qualifications (from an accredited college or university)


- Bachelor's Degree or commensurate experience required


Experience Qualifications

- 4 or More Years of pharmaceutical industry, Conventions and/or Meeting experience required
- Understanding on Pharma guidelines and Federal/State regulations preferred
